Constitution

Article I Name:

The name of this organization is Camp Kesem.

Article II

Section 1: Relationship to University:

This organization is related to the University of Florida as a student organization.

 Section 2: Camp Kesem is student-run summer camp program for children ages 6-13 whose parents have, have had, or have passed away from cancer. The Camp Kesem program is a summer camp that serves a commonly neglected portion of the cancer community and allows campers to build self-esteem and gain support from peers undergoing similar challenges. The purpose of the camp is to build a supportive network of friendships within the Camp Kesem and Florida communities for families coping with cancer. This organization shall be not for profit or non-commercial in nature.

Article III Membership:

Full membership shall be limited to registered students of the University of Florida. Faculty, staff, the spouses of members, and other students may be associate members. Associate members may not hold office or vote on matters concerning this organization. *Members are free to leave and disassociate without fear of retribution or harassment.

Article IV Concerning Discrimination:

This organization, including all of its members, will not discriminate against anyone on the basis of race, creed, color, sex, age, nationality, disability, or sexual orientation.

Article V Finance:

There are no dues or fees to be a member of this organization. The funds raised for the camp will be primarily from private donors, charitable organizations, and fundraisers. The members are not required to donate any moneys.

Article VI Officers:

Section 1: The officers shall be President and Treasurer, also named Co-Chairs of the organization. One co-chair will be acting President according to University guidelines and the other will be acting Treasurer according to University guidelines. However, both Co-Chairs will share the responsibilities imparted on them.

Section 2: In the Spring Semester, nominations shall be taken for Co-Chair positions. Nominations can be made by any Camp Kesem member in active standing. These nominations will occur at a General member meeting. The nominator (who also must be a Camp Kesem member) will stand and say, “I nominate [name of member] for the Camp Kesem Co-Chair position.” 

Section 3: Officers will hold office from August of the year that they were elected, to August of the next year until the camp takes place. There is no limit to how many times an officer can be reelected. 

Section 4: The office of Faculty Advisor is to be chosen by the Co-Chairs with the advisement of the Co-Coordinators. It is recommended that the faculty advisor remain in office for the duration of his/her tenure, however, his/her term is at the discretion of the organization. If at anytime the organization wishes to elect another faculty advisor, the executive board will vote on a replacement. The faculty advisor should be one whose ideals are aligned with the organization’s purpose and is willing to serve as a source of information and advice for the club.

Section 5: The Faculty Advisor will support the club members in fulfilling the purpose of the club, be resourceful, and represent the club to the community and the University of Florida as needed.

Section 6: Roles of the officers:

The President, also named a Co-Chair of Camp Kesem, will oversee the Co-Coordinators, help in the organization of the camp, deal with any organizational matters having to do with the University and is responsible for presiding over meetings and acting as the official representative of the club. The President is also responsible for turning in office logs if the organization has office space in the Student Activities Center.

The Treasurer, also named a Co-Chair of Camp Kesem, will oversee the Co-Coordinators, help in the organization of the camp, deal with any organizational matters that have to do with the University and is responsible for handling funds, whether collected or distributed for formal or informal events, as well as, maintaining accurate records of all financial transactions with the help of the Fundraising and Camp Administration and Programming Co-Coordinators.

Administration and Camp Programming Co-Coordinators: The Admin and Camp Programming Co-Coordinators are responsible for the budget, campsite, organizing the camp schedule, handling reimbursements, and other responsibilities shares by all of the Camp Kesem officers as well any administrative Camp duties.

Fundraising Co-Coordinators: The Fundraising Co-Coordinators are responsible for all fundraising events as well as depositing money in the Camp Kesem bank account.

Student Support Co-Coordinators: The Student Support Co-Coordinators are responsible student recruitment of members, counselors, and faculty advisors. They are also responsible for camp counselor training.

Camper Care Co-Coordinators: The Camper Care Co-Coordinators are responsible for camper recruitment and serving as a liaison between camper’s families and Camp Kesem. They are also responsible for programming camp events during the duration of the camp.

Section 7: The impeachment of an officer can only occur if the executive board, which includes the Co-Chairs and Co-Coordinators, votes in favor of the impeachment by 2/3. However, any club member can also nominate an officer for impeachment at which point the club will vote and if there is a 2/3 majority for impeachment then the officer will be impeached.

Article VII Elections:

Section 1: Elections of new Co-Chairs will take place between March and April of the Spring Semester. The period between Elections and August when the officer takes the position will be a training period.

Section 2: Any full club member can be nominated for any office.

Section 3: Members who are running for office must be give a speech before the club and also answer any questions that club members ask. A member who is nominated for office can decline their nomination. 

Section 4: Officers must be elected by majority vote. The elections will be held by a secret ballot. All members will be included in the voting process.

Section 5: If an officer decides to step down from office, another officer will fill the position, as decided by the officers. The nominations will be held as they are held for a regular election. The club members will be notified of the election through a listserv.

Article VIII Committees:

Committees may be formed at any time, according to the needs of this organization. Each committee will consist of volunteers. The volunteers shall independently nominate and elect someone to serve as chairperson for that committee. The chairperson shall serve until the project for which the committee was formed is completed. It is the responsibility of the chairperson to report, to the rest of the organization, the progress of the committee.

Article IX Authority: *This organization shall conform to the regulations prescribed by the Student Guide and other laws and rules governing the University of Florida and its students. *Hazing is, by all means, prohibited.

Article X Amendments: Amendments to this Constitution may be suggested by any member of this organization. The amendment should be submitted to a Co-Chair on paper. The amendment shall be voted upon during an executive board meeting and upon majority vote in the executive meeting it will be presented to the club for approval by majority vote.
